Import Rules

When importing (see Importing Overview for more information) a comma delimited file into Easy Access, Easy Access uses the Import Rules to help determine how the address fields will be imported. Although this helps Easy Access break down the address information, nothing is perfect when it comes to importing. There still might be errors from the credit bureau if the information was not converted correctly, requiring you to edit the record.

If you check Allow Importing, a RULES button will appear. Clicking on this button brings you to the Import Rules Section.

Import Rules allow the user to specify a set of rules that will modify a variety of address types and convert them to the format required by the Easy Access Inquiry Entry Form.

The Field box contains a list of the fields to be converted. These appear if you double-click one of the address boxes on the Inquiry Entry Form.

Post Office Box
PO Box, POB, P.O. Box, etc…

Rural Routes
Route, RR, Rural Route, Star Route, etc…

Street Direction
N – North, NO, etc… S – South, SO, etc…

Type of Street
AVE – Avenue, Ave., etc…, ST – Street, etc…

There are many Street Types. Examine these with care and add rules as necessary.

Apartment Number or Suite
#, Apartment, Suite, Ste, etc…

note If you are importing apartment numbers, there must be a space between the abbreviation and the actual number in the import file.

The Field Item Box shows a list of Field Items present on the Inquiry Entry Form. While the fields PO Box, Route and Apartment have only one Field Item, the Direction and Type fields have many Field Items associated with them.

Here is an example of how rules are used when converting

In the database you are importing from, you might put in a # Sign to specify an apartment. Easy Access needs to know this since most of the credit bureaus require Easy Access to send the apartment number separate from the address information. By including a # Sign in the Rules for the Apartment field (which it is by default), Easy Access knows that the number following the # sign is indeed an apartment number, and can place the number in the correct field. Setting up rules that match the way you have input the information into your own database is the only way Easy Access can determine what type of information in included in the address line.

Adding a RULE to a given Field Item allows Easy Access to convert imported addresses into a form recognized and accepted by your Credit Bureau.

Deleting a RULE will stop Easy Access from converting a Field Item.

You can test your rules by entering an address in the Test Rules Section. To test an address, click into the Street address and enter your address. Tab to the City, ST ZIP field and enter that information. Hit the TAB key and your address will be converted and shown below the information you just entered.

You can return any time and edit your rules if you find that you need to modify your rules so your imports can be more successful.

Click Close to exit this function.
